When to repair a copier and when to replace it

Not every failing copier needs replacing, and not every working one is worth keeping. The decision usually comes down to four things.

1. Age against duty cycle

A machine rated for 20,000 pages a month that has been running 4,000 has a lot of life left. One running at or above its rated volume will keep failing regardless of what any individual repair costs.

2. Parts availability

Xerox supports parts for a defined period after a model goes end-of-life. Once fusers and feed assemblies stop being manufactured, repair times get longer and unpredictable. This is often the real deciding factor.

3. Cost of the repair against remaining value

A rough rule: if a single repair costs more than roughly half of what the machine is worth, and the machine is past two-thirds of its expected life, replacement usually wins.

4. Frequency, not severity

Three service calls in three months is a stronger signal than one expensive repair. Recurring jams and misfeeds usually mean worn transport components, which tend to fail together.
