What happens when my copier lease ends?

Most leases require written notice (often by certified mail) within a narrow window before the lease matures — commonly 90 to 150 days out — telling the leasing company whether you're returning the machine or buying it out. Miss that window and the lease typically auto-renews for months you didn't plan on.

How do I notify my leasing company about returning or buying my copier?

Check your lease agreement's end-of-lease clause for the exact method required — usually written notice, sometimes specifically by certified mail. If you can't find it or aren't sure, call your leasing company directly and ask for your notification requirements in writing.

What is a letter of intent for a copier lease?

It's the formal written notice your lease requires before it ends, stating whether you plan to return the equipment or buy it out. ABS can help draft this letter for you, free, whether or not you're already an ABS customer.

Who's responsible for shipping a returned copier?

Technically, you are — most leases put return shipping on the customer, even though many people assume the leasing company handles it. If you're becoming a new ABS lease or LeaseFlex customer and you're in our service area, we cover pickup and return shipping for free.

Do I need to wipe my copier's hard drive before returning it?

Yes. Modern copiers store scanned documents, print jobs, and address book data on an internal hard drive. Run an image overwrite or factory reset before the machine leaves your building.

What is "interim rent" on a copier lease?

It's a one-time charge covering the gap between when your copier is installed and when your first regular billing cycle begins. It only happens once, but it does happen — worth budgeting for when you sign a new lease.

Lease vs. Buy

Should I lease or buy a copier for my business?

It depends on your cash flow and how often you want to upgrade. Leasing preserves capital and keeps you current on technology with predictable monthly payments; buying costs more upfront but is cheaper over the long run if your needs are stable. Most small businesses lease.

What's the difference between an FMV lease and a $1 buyout lease?

An FMV (Fair Market Value) lease has lower monthly payments, but you don't own the machine at the end — you return it or buy it at its market value. A $1 buyout lease costs a bit more per month, but at the end you own the machine outright for $1.

How much does it cost to lease a copier?

Monthly payments typically run from about $50 for a basic machine up to $500+ for a high-volume multifunction printer, depending on the equipment, term length, and what's included in your service agreement.

Can copier lease terms be negotiated?

Yes — payment structure, service inclusions, lease length, and upgrade options are all typically negotiable before you sign. It's much harder to renegotiate after the fact, so ask the questions upfront.

What is your service area?

We serve Connecticut, Rhode Island, Massachusetts (including Cape Cod), and New York from the Bronx north through Westchester County and the Hudson Valley up to roughly Albany. Outside that area, we still take care of you — regular leases are supported through Xerox's broader service network, and we'll help arrange logistics either way.

Why does my Xerox copier keep jamming?

Usually it's paper-related: overfilled trays, the wrong paper type, or humidity-curled paper. Check the paper path for torn scraps and make sure trays aren't overloaded. If jams keep recurring, it's often a sign a roller needs service.

Why is my Xerox printing slow?

High-resolution settings, a backed-up print queue, or a shaky network connection are the most common causes. Try lowering print resolution for text documents and clearing your queue first.

What does this Xerox error code mean?

Error codes vary by model and point to a specific mechanical or configuration issue. Check your machine's manual for your exact code, or call us with the code and we'll tell you what it means and whether it needs a technician.

How do I get Xerox service near me?

If you're in our service area (Connecticut, Rhode Island, Massachusetts including Cape Cod, or the lower Hudson Valley/Westchester region of New York), just request service online and we'll get a technician out.

LeaseFlex

Can I cancel a copier lease early?

With a traditional lease, usually not without a penalty — you're locked in for the full term. With ABS's LeaseFlex program, yes: call us, we pick up the machine, and you get a final usage invoice. No penalty, no questions asked.

What happens if I want a new copier before my current lease ends?

On a traditional lease, you're typically stuck paying out the remaining term. LeaseFlex customers can upgrade, downgrade, or swap equipment any time — that flexibility is the entire point of the program.

What is the catch?

There is no catch. Some companies do not mind a longer lease — 3, 4 or 5 years — and in fact that has been the traditional setup for the past 30 years. However, some companies are experiencing too much change: they may grow, downsize, move, be on an M&A freeze and only able to make a short commitment, have people retiring, or simply prefer flexibility in an AI world where nobody knows what things will look like in 2, 3 or 5 years. LeaseFlex is built for them.

Are the machines new?

Our machines all come in new; however, the machine you receive may arrive in like-new condition with a very low meter. It is like when you rent a car at Avis or Hertz — you will likely get a new model car with some low mileage. Every machine is under the same service agreement and service level agreement, and if any machine is deemed not 100% it will be changed out immediately. With LeaseFlex, it is our job to make sure you are 100% satisfied, because at any time you can call us to come pick up the machine.
