Privacy Policy

This policy applies to xeroxne.com and the tools on it: the quote builder, service and supply requests, meter reporting, the End of Lease tool and the Customer Hub. Most of the information we collect here is business contact information supplied by people acting on behalf of a company. Where a state privacy law excludes business-to-business contact data, that exclusion applies to that information.

We collect the information you give us: name, company, email, phone, install address, equipment serial numbers, meter readings, quote and configuration selections, and any documents you upload such as a lease agreement. We also collect basic usage information (pages viewed, browser type, approximate location from your IP address) to keep the site working and secure.

We use your information to prepare quotes, dispatch service, ship supplies, answer end-of-lease questions, service your account, and contact you about your request. We also use it to prevent abuse and to meet our legal and tax obligations. We do not sell your personal information and we do not use it for targeted advertising.

If you choose "Text me" on a service request, we use your mobile number only to send status updates about that request. Consent to receive text messages is not a condition of any purchase. Message frequency varies by the activity on your request, typically a few messages per service call. Message and data rates may apply. Reply HELP for help and STOP to cancel at any time. Mobile carriers are not liable for delayed or undelivered messages.

We share information with service providers that process it on our behalf, under contract, and only for the purposes described here:

• Zoho CRM — customer records, quotes, service cases, meter usage records and tasks.
• Microsoft Teams — internal alerting so our staff see new requests promptly.
• Supabase — authentication and application data storage for the Customer Hub and staff tools.
• Hosting and email delivery providers — to serve this site and send transactional email.
• AI processing providers — used only to read lease documents you upload (see below).
• Xerox and leasing partners — where your request requires it, such as ordering equipment or resolving a lease.

We may also disclose information when required by law or to protect our rights. We do not sell your personal information.

Lease documents uploaded to the End of Lease tool are transmitted to a third-party AI service that reads the document and extracts key dates and terms so we can advise you. The document contents are not used to train AI models. Extracted facts are retained with your account record. Uploaded documents and their extracted facts are shared only with our processors listed above and, where needed, the parties to your request such as your leasing company.

Quotes and configurations: up to 3 years from the date created. Service cases and meter readings: for the life of the account and 7 years after it closes, for warranty, billing and tax purposes. Uploaded lease documents: purged within 12 months after the related transaction closes or you tell us you are not proceeding, whichever comes first. Customer Hub sign-in codes: minutes. Marketing contact records: until you unsubscribe.

Traffic to and from this site is encrypted in transit with TLS. Access to customer records is limited to ABS staff who need it to do their job. The Customer Hub is gated by a one-time code sent to a verified email or phone on the account, not a shared password. No method of transmission or storage is perfectly secure, but we review our practices regularly.

We use cookies and browser local storage to keep you signed in to the Customer Hub and to remember your place in our tools. Specifically, we store two identifiers in your browser, abs.visitorId and abs.sessionId, so an in-progress quote or service request survives a page reload. We do not run advertising or third-party analytics trackers on this site. You can block cookies and clear local storage in your browser, though signed-in and multi-step features will not work.

You can ask us to access, correct, delete, or receive a portable copy of the information we hold about you, and you can unsubscribe from marketing email at any time. We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of on that front, but you may confirm that with us.

Connecticut residents (CTDPA): you have the rights listed above. We will respond within 45 days. If we deny your request, you may appeal by replying to our decision or writing to the address below, and we will respond to the appeal within 60 days. If the appeal is denied, you may submit a complaint to the Connecticut Attorney General at portal.ct.gov/ag.

California residents (CCPA/CPRA): you have the right to know, delete, correct, and to opt out of sale or sharing. We do not sell or share personal information as those terms are defined. We will not discriminate against you for exercising a right.

This site is intended for business use. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.

We may update this policy as our services or the law change. We will revise the "last updated" date at the top of this page, and for material changes we will post a notice on this page. Continuing to use the site after an update means you accept the revised policy.
