End of lease copier help

Almost nobody knows when or how they are supposed to notify their leasing company that they want to return or buy out a copier. The window is usually narrow, often 150 to 90 days before the lease ends, and it often has to be written notice sent a specific way. Miss it by a week and the lease auto-renews for another year on a machine you were done with.

What happens to your documents

  • Your files are sent over an encrypted HTTPS connection and are read once, to pull out your lease dates and clause.
  • They are never written to a database, a storage bucket or a disk. They exist only in memory for the few seconds the extraction takes, then they are gone.
  • Nothing is shared with your leasing company, your current dealer, or any other third party.
  • We keep the facts you confirm on the next screen — dates, model, company name — so we can send your reminders. We do not keep the documents themselves.

Letter of intent to return

This is the letter most leases require you to send to avoid an automatic renewal. Fill in the six facts below and the finished letter appears on the right, exactly as it will print. The wording is fixed — it is the language we use ourselves.

Everything you type prints on the letter and goes to your leasing company under your signature. Use your real legal company name, the serial number from the machine, and an email you actually monitor — the lessor will reply to it.

Send this letter the way your lease requires — most agreements require written notice by certified mail, return receipt requested. Keep the receipt and a copy of this letter with your lease file.

What has to happen, and when

Print this checklist

Every lease is different, so confirm your own dates and requirements with your leasing company. This is the general order things need to happen in.

6 or more months before your term ends

  • Find your term end date
  • Find your notice window, the period when the leasing company will accept your return notice
  • Set a reminder dated before that window opens

90 days

  • Send your letter of intent to return
  • Use certified mail if your lease requires it
  • Get written acknowledgment that they received it

60 days

30 days

  • Arrange for the machine's hard drive to be wiped
  • Get written confirmation of the wipe, with the date, serial number and method
  • Book the deinstall and the freight

Pickup day

After it ships

  • Get written confirmation that the leasing company received it
  • Remove the device from your network and delete its print queues
  • Check your final invoice against the meter reading you recorded

Security scrub and de-installation

Before a copier leaves your building, clear the data on it. Every modern Xerox multifunction device stores job data, address books, and scan destinations. This is general guidance by family; your ABS technician can walk you through the exact screens on your machine.

Getting the machine back

Most leases put the return shipping on you, and copiers are heavy, awkward freight. We handle the reverse logistics ourselves. If you are inside our service area and becoming a new ABS lease or LeaseFlex customer, return shipping is free.

Our own trucks, our own drivers

Deliveries, relocations and end-of-lease returns are handled by ABS directly from our New Haven location. We do not hand your machine off to a third-party shipping network.

That means deliveries, relocations and end-of-lease pickups are scheduled and driven by people who work for ABS — not handed off to a third-party shipping network. It is how we protect your equipment, your data and your timeline.
