Our copier stopped working after we changed networks

Why a copier stops printing or scanning after an office move or network change, and the order in which to fix DNS, SMTP, firewall and driver settings.

What's actually going on

The device itself is fine. What changed is the subnet, the gateway, the DNS servers and often the mail relay it was using to send scans.

Print drivers on every workstation point at the old IP address and silently fail.

Firewall rules at the new site frequently block the ports scanning depends on.

What to do in the next 48 hours

  1. 1Print the configuration page from the device panel and confirm it has a valid IP, subnet mask, gateway and DNS server on the new network.
  2. 2Assign a static IP or a DHCP reservation. A copier on a dynamic lease will break again the next time it renews.
  3. 3Update the DNS name or IP in the print queue on the server, or repoint the drivers, rather than reinstalling on every workstation.
  4. 4Rebuild the SMTP settings for scan-to-email: new relay host, port, authentication and from-address. Test with one address before announcing it works.
  5. 5If scan-to-folder fails, check SMB version and firewall rules before blaming the copier.

The honest tradeoffs

  • A DHCP reservation is quicker to set up than a static IP and keeps the address managed centrally. Either works; leaving it on a plain dynamic lease does not.
  • Repointing a shared print queue fixes everyone at once but needs server access. Per-workstation fixes need no permissions and never end.
